Your client data: exporting it, deleting it and where it lives

Can I export all my client data from Helms?

Yes. On any Helms plan, Free included, one button on a client's page downloads their whole record as a file: training plans and every logged set, meal plans and food logs, check-ins, biomarkers, supplements, bookings and messages.

The file is JSON. Progress photos and videos come as download links that work for an hour, so save those straight away if you need the images themselves. You don't have to ask me for any of it.

Can I export my client data from Trainerize?

Only partly. Trainerize's own help centre says its export is a CSV of the client list and doesn't include client history, programs or training progress, and that workouts and programs can only be saved as PDFs.

Can I export my client data from TrueCoach, Everfit, Kahunas or PT Distinction?

TrueCoach exports the client list as a CSV with compliance scores and workout totals, and Kahunas says it provides data on request and deletes it within 30 days of closing an account. I couldn't find a coach data export described on the Everfit or PT Distinction sites on 2026-10-20.

Sources: TrueCoach help and the Kahunas privacy policy. When I moved my own clients off Kahunas in July 2026 there was no export button, so I rebuilt each record by hand. The story is on the Kahunas alternative page.

Can my clients export or delete their own data?

Yes. A Helms client can download their own record from More, then Export my data, and delete their account from More, then Delete my account.

A coach can also delete a client from the client's page, which removes the account, their data and their photos and videos from storage.

Where is Helms data stored?

Helms runs its servers and database at Hetzner in Germany, and stores files like progress photos on Cloudflare R2. Optional AI features send what they need to Anthropic, and transcription goes to Groq, both of which are US companies.

The full list is in the Helms privacy policy. For comparison, Everfit lists AWS and MongoDB in the United States (Everfit sub-processors), and Kahunas says it's hosted mainly on AWS London (Kahunas privacy policy).

Is my clients' data used to train AI?

No. The Helms privacy policy says AI features are off by default, you opt in, no name, email or account ID is sent, and the data isn't used to train models.

How is client data kept secure in Helms?

Helms serves everything over HTTPS, keeps each coaching business's data separated in the database, and offers two-factor sign-in with an authenticator app. A coach on a team only sees the clients assigned to them.

Two-factor is optional, and you switch it on in Settings.

What happens to my data if I stop paying for Helms?

Nothing is deleted. If a paid plan ends, the account drops to Free with every client and their history kept, and you can't add new clients past the Free limit of 7.

If you want to move down a plan while you're over that plan's client limit, Helms asks you to archive clients first rather than hiding anyone. TrueCoach says it doesn't delete data on cancellation either (TrueCoach help).
