BUILT BY A COACH WHO STILL COACHES
Coach more.
Admin less.
Your whole coaching business in one place. Your client logs in a basement gym with no signal and loses nothing, and you hear the morning after they skip a session. Your data exports any time, and if you're on another platform now, we'll move your clients across for you, free.
Built by a working coach Your data, exported any time We move your clients over, free
You didn't get into coaching to wrangle software
10+ tools to run one coaching business. A booking app, a payment tool, a spreadsheet, a workout builder, your DMs, and none of them talk to each other. So you become the glue: re-typing the same client into the fourth app, chasing check-ins by hand.
Your stack today
£165-356 / month
Six to nine tools. Six to nine logins, six to nine bills, and you in the middle re-typing the same client into all of them.
- Coaching platform, priced per client
- Separate booking and payment tools
- A spreadsheet doing the real work
- Your DMs as the check-in inbox
On Helms
£69 / month
One platform, one bill, and free until you're past seven clients. You only move up a tier when your client count does, not per head.
- All of the above, talking to itself
- Your own branded app on iOS and web
- Your data, exported any time
- We move your clients across for you, free
Nothing talks to anything
The coach ends up being the integration layer. Enter a client once, then enter them again everywhere else. That's not a platform, that's homework.
You get taxed for winning
Per-client pricing charges you more the more you grow, for a tool that does nothing more. You start doing maths on whether you can afford your own next client.
The bigger the business got, the more of my week went on juggling apps and re-typing the same client into all of them. It felt like more admin than coaching.
I wanted one place for the lot: the client work, the business numbers, the social side. So I built it.
The AI does as much of that as you want it to, as long as it isn't coaching for you. That line isn't a feature, it's the point.
What your clients actually feel
A coaching app earns its place in the thirty seconds between sets. Your client is in a basement gym with one bar of signal. Yesterday they logged a meal at the wrong portion.
Nothing they log ever disappears
Sets, food, habit ticks, a check-in and an outgoing message all queue up with no signal at all and replay when the phone comes back. Each one carries a key generated on the device, so a reconnect can't log the same thing twice. Kill the app mid-session and the draft is still sitting there when they reopen it.
- Offline on five things, not just workouts
- Nothing double-posts when it syncs
- Crash-proof drafts on the logger and the check-in
- History kept as long as the account, at any age
They can fix what they got wrong
Small things, and every client does them. They send a message they meant to word differently. They want your voice note finished before the bus gets there.
- Correct a meal after it is already logged
- Edit a sent message for an hour, original kept
- Voice notes at 1.25, 1.5 or 2 times speed
The app adds the weight when they earn it
You write the progression rule on the exercise once. After that the app reads their own last log for that lift and offers the next number with the reason beside it: hit the top of the rep range on every set, add 2.5 kg. Anything it can't be certain about, it holds.
- Double, rep or RPE progression, your call
- Machine settings carry forward, notes stay with the day
- Prime and Strive stacks logged pin by pin
- What they lifted last time, across sessions
Their week bends, your plan doesn't break
A client can move a session to another day themselves. The programme is never rewritten: the move sits over the top of it as one row, you are told it happened, and undo puts it straight back.
Their own app, with your name on it
On any paid plan your clients download your app from the App Store: your name, your icon, your colours. On Free they get the Helms app and still see your business name inside it. Either way it runs in a browser and installs to the home screen without the store.
What you feel, running the roster
Thirty clients is not thirty times one client. It's knowing which one to look at this morning, and having that arrive on its own instead of you going round the app to find it.
You hear the morning after, not the week after
A client skips a session and Helms tells you the next morning, once, quietly. The roster already shows you who has gone silent, and the check-in queue is ordered by what needs looking at rather than by what came in first. Your home screen is yours to build: choose the widgets, set how big each one is, set what each one shows.
- Missed-session alert to you, the morning after
- Who has gone quiet, on the roster view
- Check-in queue ordered by what needs a look
- A home screen you arrange out of widgets
One room for the group, one for your team
Group threads for you and a set of clients, and a separate team chat for coaches only. The group conversation stops living in a WhatsApp group nobody can search and you cannot export.
- Group threads, you plus the clients you pick
- Coach-to-coach team chat, one room per business
- Everyone sees what they haven't read yet
A new client starts on a target from day one
Your intake form already asks for everything the maths needs. Helms does the maths with your protein and fat numbers rather than somebody else's defaults, and puts the result in front of you before the client ever sees it.
- Starting macros computed from your own intake form
- Your grams per kilo, set once for the whole business
- Adaptive target suggestions available, and every one is yours to accept or dismiss
When the Saturday group is full, the next one waits
A session type carries a number of places. Every dated occurrence keeps its own copy of that number, so moving one week into a bigger room doesn't quietly change the rest of them.
When it fills, the next client joins the waitlist. If somebody drops out, the person at the top takes the place and gets told, with you not in the loop at all. Cancel the session and every place is released at once.
Capacity, the register and the waitlist, on the coach's session board.
Write the progression rule once, on the exercise
Double progression, rep progression or an RPE rule, set on the exercise in the builder where you are already working. Not per client, and not per week.
From then on the server reads each client's own last log and decides: add the weight, add the reps, or hold. Anything ambiguous holds, because the cost of holding is one repeated session and the cost of guessing is a number nobody chose, under a barbell.

Nine things I haven’t seen another platform do
Nine decisions that came out of coaching, written as the thing they get you or your client. If you find one of these somewhere else, tell me and this heading changes.
A pin stack logged pin by pin
Log a Prime or Strive machine as the load on each pin. The total is computed from the parts, so it can never disagree with them, and the exercise reopens in the same mode next session with no setting to fall out of step.
Notes stay with the day, settings stay with the machine
Seat height four, pad on the third notch, is a standing fact about that machine and it carries forward. What they said about their shoulder on Tuesday is Tuesday’s note and it does not. The top-voted comment in the biggest complaint thread about another platform is asking for exactly this.
One video, on the right training day
Record once with your screen and your face. The client sees “watch from 2:14” at the top of the day it applies to, instead of a clip buried in a chat thread from three weeks ago. It transcribes itself and pulls the action items out on the way in.
Blood markers explained, or not explained at all
Each marker’s explanation is written from human reviews found on PubMed and keeps the citations. Where the literature won't support one, Helms stores nothing rather than something plausible.
An enhanced client supported properly
Dose, half-life, taper and clearance modelled as a curve, with what was actually taken laid over what was prescribed. The draw calculator returns blank rather than a wrong number, because it sits next to a real syringe. Off by default, per client.
A typed-in food waits for a second stranger
Scanned public food data goes global on first sight. A hand-typed food waits until an unrelated coach independently agrees, because one wrong shared row silently mis-macros every client who scans it.
Receipts on the 1st, from your first client
A branded, share-ready image of what your roster did last month: total load moved, personal bests, kilos down. Your colours, no client names, and it arrives by itself. Free on every plan.
An AI stopped in code from writing your programme
The agent may only add something you named, or copy a template you wrote. Around forty scaffolding values, “TBD” and “coach to fill” and “auto-generate” among them, are rejected before they can be saved at all. The refusal lives in the code, so there is nothing to switch off by accident.
Your roster, from your own Claude, free
Helms runs an MCP server, so you can point Claude or Codex at your own account and work in plain English: find a client, adjust a meal, check the roster, draft a message. It runs on your AI account, which is why it sits on the free tier.
Everything a coaching business runs on
The core is all here, without the bloat. Enter a client once and it's everywhere: booking, plan, check-ins, revenue. It actually talks to itself.

Get off the spreadsheets
Spreadsheets aren't the enemy, they just make your coaching look like homework and they don't hold the data in a shape you can read. Your client opens an app with their name on it, and you get a view of what's actually happening instead of a tab you have to interpret.

Your data is yours. Take it whenever you want.
Plenty of coaching platforms will not let you take your own work back out. That's a policy, not a technical limit. On Helms a client's whole record downloads as a file you keep, on any plan, including Free.
Export a client's whole record
One button on their page. Training plans and every set they logged, meal plans and food logs, check-ins and progress photos, biomarkers, supplements, contracts, bookings, messages. Their record in one file, and you don't have to ask us for it.
- Coach export, any client, any time
- Clients can export their own record too
- On every plan, Free included
Delete it just as easily
A client asks to be forgotten and you do it from their page. Account gone, data gone, their photos and videos off our storage.
Your money never runs through us
Clients pay you on your own Stripe or GoCardless. Helms reads the numbers so you can see your revenue, and takes no cut. Nothing to untangle if you go.
Your history is yours, forever
Nothing is pruned on a schedule. Retention only ever touches telemetry: AI usage rows, notification records, auth events. Never a logged set, never a check-in, never a photo.
We'll move your clients across. Free.
Nobody stays on a platform they've outgrown because they like it. They stay because re-typing a year of client history is a fortnight of evenings. So we do that part for you, by hand, on any plan you land on.
Send us what you've got
Your spreadsheets, your exports, your current platform's plans. Whatever shape it's in. We'll tell you quickly whether we can read it.
We move it across
Clients, training and nutrition plans, supplements and their check-in history, into your Helms account. A person does this and checks it against your originals.
You coach on day one
Your clients get an invite to an app that already knows their programme. No blank slate, no re-onboarding.
What we need from you
The platform you're on, roughly how many clients, and whatever export or sheet you can get out of it. If your platform won't give you an export at all, tell us anyway. We've worked around that before.
What it costs, and when it happens
Nothing, on any plan, Free included. We'll agree a date with you before we start, so you know when your clients get their invite. Email admin@usehelms.com and it's Logan reading it.
The AI does the admin. It won't do the coaching.
There is an agent in here, and it earns its place on the boring half of the job. It finds who's slipping and drafts the message, then hands it back for you to confirm. It won't write a programme off its own back, and it won't message a client as you. That's built into it, not a setting you have to remember to leave alone.

Checking your clients…
AI operator
Ask in plain English: "who's slipping this week?", "build a 4-day upper/lower block", "message everyone who missed check-in". The agent does the work and hands it back for your sign-off. It won't invent a plan on its own: you say the split, the days and the goal, it drafts to that brief, you confirm.
- Finds clients & summarises them
- Builds workout & meal plans to your brief
- Reviews check-ins
- Drafts client messages
- Builds & publishes funnels
- Every action is propose → you confirm
Voice mini-coach
Ask about any client hands-free, between sessions, and hear the answer out loud.
- On every coach page
- Ask by voice, hear the answer
- Daily briefing: check-ins, bookings, quiet clients
Client analytics
Ask about trends, adherence and red flags across your whole client base. The agent answers from your real client data, in plain English.
- AI insight: who's slipping
- Adherence across your clients
- Periodisation phase board
- Client timeline planner
Receipts
On the 1st of every month, Helms emails you a branded, share-ready image of your clients' wins. Post it to your story and you're done.

Can I get my data back out?
Any time, without asking us. You export a client's whole record from their page: plans, every logged set, check-ins, progress photos, biomarkers, supplements, messages. Your clients can export their own record too, and when one asks to be deleted you can do that from the same page. If you ever leave Helms, you leave with the lot.
Does the AI message my clients on its own?
Never. It drafts and proposes; nothing reaches a client without your say-so. The admin gets handled, the coaching stays yours.
I'm coming from another coaching app. Can I bring my clients?
Yes, and we do it for you, free. Send us whatever you can get out of your current platform and we'll rebuild it in your Helms account: clients, plans, supplements, check-in history. There are self-serve importers too: a client-roster CSV, the full Helms template, and Cronometer or MyFitnessPal food diaries. The done-for-you move is free on any plan, and that person is usually me.
I'm coming from Google Sheets. Can I bring my clients?
Yes, and this is the one we're best at. Send us the sheet as it is, however messy: we've moved whole client lists out of coaching templates before, including training plans, meal plans, supplements and weeks of check-in history. You don't tidy it up first.
What does Free actually get me?
The real platform for up to 7 clients: training, nutrition, check-ins, your community, a booking page, the revenue dashboard and monthly branded receipts. It's not a locked-down demo. It's capped on size, not crippled on features.
Do my clients need to download an app?
On a paid plan they download your app: your name, your icon, your colours in the App Store, not ours. On Free they download the Helms app and still see your business name inside it. Either way they can skip the store entirely, use it in a browser and install it to their home screen, and either way they log offline and it syncs when the signal comes back.
Can I move between tiers?
Any time, up or down. You move up when you cross a client count or want the AI layer; nothing's locked in.
How is Helms different from Trainerize, TrueCoach or Kahunas?
They are bigger than me and they have been at it longer, so they have more integrations and a longer feature list. What I did before building this was read 1,185 one, two and three star reviews of those platforms, re-pulled in September 2026 and still sitting on my disk, and the complaints are not about missing features. They are about reliability. Workouts lost mid session. No offline mode in a basement gym. Nutrition totals that do not add up. History quietly capped. Helms is built against that list: your client logs offline and it syncs later, nothing is deleted on a schedule, and if you leave you take everything with you. If you want the biggest feature list, buy theirs. If you want the boring stuff to work, that is the one I am trying to win.
What is the best software for an online fitness coach?
Honestly, it depends on one thing: how much of your week goes on admin rather than coaching. If you are happy in spreadsheets and you have a handful of clients, stay there, it is free and it works. If you are losing evenings to plan building, check in chasing and copying numbers between apps, you want a platform, and the questions worth asking any of them are: does it work with no signal, does it keep my history forever, can I export everything, and does my client pay me directly rather than through the platform. Helms answers yes to all four. Ask the others the same four.
Who is Helms not for?
Three people. A coach who wants software to write the programme for them, because ours deliberately will not, it drafts and you decide. A gym chain wanting front desk, door access and class bookings for hundreds of members, that is gym management software and this is not it. And anyone who needs a specific integration today that I have not built, because I would rather tell you now than take your money and hope. Ask me before you sign up and I will tell you straight if it is not a fit.
Is it any use if I have only got a few clients?
That is what the free tier is for, and it is free for as long as you want it, not a trial with a countdown. Up to 7 clients with the real platform: training, nutrition, check ins, your community, a booking page and branded receipts. Most coaching software prices as if everyone already has a full roster. You pay me when it is earning you money.
Does it work for a gym, or a team of coaches?
For a small team, yes. The Team plan is 3 coach seats on one client list, so a head coach and two others can work the same roster without sharing a login. What it is not is gym management software: no door access, no class timetable, no front desk till.
Can I run group or semi-private sessions?
Yes. Set up a session type with a number of places and a length, put it in the diary once or weekly for up to twelve weeks, and clients book their own place from their app. When it is full the next one joins the waitlist, and if somebody drops out the top of the list takes the place and gets told, automatically. Cancel a session and every place is released at once.
Does it work offline, in a gym with no signal?
Yes, and this is the complaint I saw most often about everyone else. Your client logs their sets, their food, their habits and their check in with no signal at all, and it syncs when they come back up. Nothing they typed is lost, and nothing gets logged twice when it does sync.
Can I run my coaching business from Claude or ChatGPT?
Yes, and on the free tier too. Helms runs an MCP server, so you can point your own Claude or Codex at your account and get on with it in plain English: find a client, build a plan, adjust a meal, check the roster, send a message. It runs on your own AI account, which is why it costs me nothing to give away. As far as I know no other coaching platform does this at all, on any tier.
Will you cap my history?
No, and I will not change my mind about this. Every logged set, every check in, every photo stays as long as your account does. One of the loudest grievances in the reviews I read was a platform deleting stats past a certain age, which is a client's whole progress record gone to save a bit of storage. Your history is yours, forever.
How much does coaching software cost?
Helms is 0 pounds for up to 7 clients, 69 a month for 30, 119 for 75 with the AI layer, and 279 for unlimited with 3 coach seats. Annual is two months free. The thing to check on any platform, mine included, is what happens as you grow, because the usual pattern in this category is a price that jumps hard the moment you succeed. And check who holds the card: your clients pay you on your own Stripe or GoCardless, so I never sit between you and your money.
Whose data is it?
Yours and your client's. Nothing here is held hostage to keep you subscribed, and your clients pay you on your own Stripe or GoCardless, so we never sit between you and your money either.
Take the helm
One place to run the whole business. Your data stays yours, and we'll move your clients over for you.
